SHAPE ENERGY PRIVACY POLICY
SHAPE ENERGY collects personal information via its website and via its activities. Via its website SHAPE ENERGY collects data only in two cases, when people want to (1) be added to our online researcher database or (2) be included in our mailing list in order to receive updates and information via our newsletter.
Who will process your personal data?
Processing of personal data in relation to SHAPE ENERGY activities will be carried out by the SHAPE ENERGY partner(s) responsible for those activities. More information can be foundvia the website, or by contacting: info@shapeenergy.eu
Processing of personal data submitted via the website will be carried outby the Norwegian University of Science and Technology (NTNU) who is the database administrator and by Mailchimpon behalf of SHAPE ENERGY for the Newsletter subscription.
Who is the Data Protection Officer (DPO)?
SHAPE ENERGY is a project involving 13 partners (see: https://shapeenergy.eu/index.php/consortium/), each of whom are responsible for ensuring their compliance with relevant national and international data protection law, including GDPR.

What do we use your personal datafor?
SHAPE ENERGY uses the personal information given by data subjects related to project activities to run those activities and to produce project outputs. Informed consent regarding use of privately contributed data (e.g. surveys and interviews) is mandatory across the participatory activities of SHAPE ENERGY. Publicly available personal data may be processedwhere the processing is necessary for SHAPE ENERGYto perform a task in the public interest or for official functions, and the task or function has a clear basis in law.
SHAPE ENERGY uses the personal information given by data subjects via the website to send our e-newsletter every 1-2 months and to contribute to our online database. The SHAPE ENERGY researcher database contains key details of individual researchers and research organisationswith the aim of facilitating connections and encouraging future energy-SSH collaboration.
We do not use automated processing (such as algorithms or profiling) for decision-making.
How long will we keep your data for?
A maximum of 2 years after the end of the project.
Who will we share your data with?
SHAPE ENERGY will not share your personal data with third parties, except in the case of explicit consent (e.g. naming contributors to activities in reports).
What are your data protection rights?
- You have the right to obtain from SHAPE ENERGY confirmation as to whether or not personal data concerning you are being processed, and, where that is the case, access to the personal data.
- You have the right to obtain the rectification of inaccurate personal data and to have incomplete personal data completed
- You have the right to obtain the erasure of personal data from SHAPE ENERGY records
- You have the right to object or obtain restriction of processing
- You have the right to receive your personal data in a structured, commonly used and machine-readable format and have the right to transmit those data to another controller.

Complaints
The SHAPE ENERGY project is coordinated by Anglia Ruskin University in the UK, however individual partners (located in different countries) have responsibility for both controlling and processing personal information related to specific activities. If you consider we have not complied with data protection regulations please inform us via privacy@shapeenergy.eu, however you can also make a complaint via the UK’s supervisory authority, see https://ico.org.uk/concerns/.
